Facebook Executive Assistant, Policy and Comms in Dubai, United Arab Emirates

Summary:

Facebook is seeking an experienced EA to support the Communications Director for Middle East, Turkey and Africa (META) as well as the Policy Director for Middle East, Northern Africa and Iran (MENA) and to manage the region’s internal business rhythm. The ideal candidate will have exceptional organisational, interpersonal and communication skills and will have the ability to partner closely with the broader Communications and Policy teams and other cross functional teams. This person should be process focused, highly organized, energetic, detail oriented, a problem solver and exhibit sound judgement. This position is full-time and located in Dubai.

Required Skills:

  1. Manage hectic, complex, and intense calendars

  2. Coordinate meetings and schedules through different time zones.

  3. Manage the annual budget and keep track of the spend

  4. Perform the supplier management function in collaboration with the business, working with vendors and internal departments on contracts and invoices

  5. Provide logistics support (meeting spaces, catering, security) for events

  6. Work cross functionally with a global admin team to organize schedules and meetings

  7. Ask appropriate questions to have an understanding of priorities and content

  8. High response rate to emails, messages, and other communications

  9. Maintain spreadsheets, contacts, distribution lists, etc

  10. Prepare expense reports

  11. Coordinate domestic, regional and international travel arrangements and visas, hotels and transport

  12. Ensure and maintain the confidentiality of all appropriate communications and documentation

  13. Communicate daily with internal and external customers, prospects, partners, and vendors and government entities while exhibiting the highest degree of professionalism, courtesy and diplomacy

  14. Track, prioritize, and assign all incoming written and oral communications, as necessary, to appropriate person(s) for response

  15. Prepare purchase orders and follow up on vendor inquiries

  16. Take ownership of your organization’s people and business priorities/needs

  17. Develop strong partnerships with Procurement Operations, Accounts Payable, and Legal teams among others

  18. Manage, coordinate, and support special projects as needed

  19. General office duties as needed

Minimum Qualifications:

  1. 7+ years of full-time, administrative experience directly supporting 2 or more executive members (Director Level or above)

  2. 7+ years of experience coordinating travel logistics on behalf of 1 or more executives

  3. 7+ years of direct calendar management and expense report management for 1 or more executives

  4. Excellent computer skills and comprehension of Outlook and Excel

  5. Incredibly organized and detail-oriented

  6. Ability to prioritize multiple assignments quickly and efficiently

  7. Ability to multi-task and change direction quickly

  8. interpersonal and communication skills, and an ability to work collaboratively with colleagues from diverse backgrounds

  9. Extremely high attention to detail and accuracy with a proven ability to work in an extremely fast paced environment

  10. Great written and verbal communications with the ability to capture complex concepts and convey them in simple, meaningful language

  11. Ability to interact with executives and all levels of the organization

  12. An understanding of confidentiality issues and the use of discretion is essential

  13. Thrive in a fast-paced atmosphere

  14. BA or BS degree or equivalent

  15. Limited travel (to global company events) may be required

  16. Arabic language required
