Summary:

Facebook is seeking an experienced Administrative Assistant for our London office. This is a full- time role supporting our Director of Global Partners Solutions and the Director of Workplace Product Marketing. We’re looking for an efficient, self-starter with an ability to operate effectively in a fast paced, ever-changing environment. This role will also act as a cultural ambassador who can help support the wider organisation in London, and support cooperation and interaction between many cross-functional teams. This role is a full time position based in London.

Required Skills:

  1. Providing a high level of administrative and operational support to Partner Solutions and Product Marketing Director

  2. Schedule all internal and external meetings across different time zones, while making decisions on priorities and importance of the meeting requests

  3. Managing all aspects of international travel and agendas for team meetings

  4. Creating and submitting accurate expense reports on a timely basis

  5. Managing the large meeting logistics including room set up, equipment, meals if applicable

  6. Coordinating Faceversaries/Birthday celebrations

  7. Desk moves: work with Facilities to ensure smooth transition for team relocating

  8. Managing and welcoming visitors from global offices and providing an adhoc support if required

  9. Ensuring email groups, aliases, and administrative systems are maintained and current

  10. Arranging and managing creative off-sites events

  11. PO management: raising POs in line with procurement policy and review invoices for accuracy prior approving

  12. Collaborating with the Admins community to help plan or work on various LON site events (Happy Hours, Summer Party, Hackathon, EMEA Tech Summit, Christmas Party, Game Day, etc).

Minimum Qualifications:

  1. Incredibly organized and detail-oriented

  2. Excellent oral and written communication skills

  3. Great collaboration skills

  4. Strong scheduling and travel coordination skills

  5. Thrive in a fast-paced atmosphere

  6. Ability to hit the ground running and take charge of the position

  7. Proactive and self-directed with an ability to take direction

  8. Passionate about Facebook

  9. Must be flexible and able to quickly react to last minute changes

  10. Ability to effectively interact with all levels of the organization

  11. Active knowledge of how to engage team members and managers to make quick and effective transitions

  12. Proven ability track record of successful relationship building
