Facebook is seeking an experienced Executive Assistant to support Director's in London. The ideal candidate will have exceptional communication skills and will have the ability to partner closely with the broader Public Policy team and other cross functional teams. This person should be process focused, highly organized, energetic, detail orientated, a problem solver and exhibit sound judgement. This position is full-time and located in London.

Required Skills:

  1. Diary management: Extensive diary management, high change and complex calendars including organising internal and external meetings across multiple time zones & locations

  2. Work cross functionally with a global admin team to organize schedules and meetings

  3. Ask appropriate questions to have an understanding of priorities and content

  4. High responsive rate to emails, messages, and other communications

  5. Maintain spreadsheets, contacts, distribution lists, etc

  6. Drafting and formatting responses to memos, letters and documents

  7. Prepare expense reports

  8. Coordinate complex domestic and international travel arrangements and visas

  9. Ensure and maintain confidentiality of all appropriate communications and documentation

  10. Communicate daily with internal and external customers, prospects, partners, and vendors while exhibiting the highest degree of professionalism, courtesy and diplomacy

  11. Track, prioritize, and assign all incoming written and oral communications, as necessary, to appropriate person(s) for response

  12. Ensure email lists, org charts and other administrative systems are maintained and current

  13. Coordinate and prepare various press and speaking engagements

  14. Prepare purchase orders and follow up on vendor inquiries

  15. Take ownership of your organization’s people and business priorities/needs

  16. Perform the supplier management function in collaboration with the business

  17. Develop strong partnerships with Procurement Operations, Accounts Payable, and Legal teams

  18. Manage, coordinate, and support special projects as needed

  19. Provide holiday coverage for other Executive Admins

  20. General office duties as needed

Minimum Qualifications:

  1. 5+ years of full-time, executive administration experience directly supporting 2 or more executive members (Director Level or above)

  2. 5+ years of experience coordinating travel logistics on behalf of 1 or more executives

  3. 5+ years of direct calendar management and expense report management for 1 or more executives

  4. Excellent computer skills and comprehension of Outlook

  5. Incredibly organized and detail-oriented

  6. Ability to prioritize multiple assignments quickly

  7. Comfortable with giving and receiving feedback

  8. Excellent communication skills

  9. Ability to multi-task and change direction quickly

  10. Focus on customer service

  11. Stronger work ethic

  12. BA/BS required
