Facebook is seeking an experienced Executive Assistant to support two Directors, in addition to being a lead of a team of executive assistants.

In this role, you’ll leverage your talents as a masterful problem-solver and a strong organizational force to manage complex calendaring and heavy travel planning. You’ll use your exceptional communication and planning skills to build community within an organisation with multiple Product teams, foster great collaboration between executive assistants, and facilitate relationships across the larger Facebook ecosystem. You’ll exercise good independent judgement to independently assess your role in light of the needs of the organisation and proactively adjust your priorities and approach.

This position is full-time.

Required Skills:

  1. Coordinate internal and external meetings for multiple executives, including attending all leadership meetings, offsites, taking notes, proactively following-up on action items

  2. Manage hectic and complex calendars

  3. Prepare expense reports and purchase requisitions

  4. Coordinate both domestic and international travel arrangements

  5. Organize space planning and large offsite events

  6. General office duties as needed

  7. Build cross-functional relationships between departments

  8. Provides onboarding support to new hires (may include: org/team overview, training, sharing resources)

  9. Models core Admin behaviors and encourages others to do the same

  10. Plan and lead activities that build team admin community (may include: facilitates team meetings and trainings, ensures information is cascaded to the executive assistant team, etc.)

  11. Provides coaching to and support for other executive assistant team on the team or across other teams

  12. Is primarily responsible for coordinating coverage support across the executive assistant team, as well as ensuring workload is balanced and areas of org responsibility is distributed fairly

  13. Maintains partnership with HRBPs, XFN Product Leads

Minimum Qualifications:

  1. 6+ years of experience providing administrative support to 1 or more executives

  2. 6+ years of experience coordinating travel logistics on behalf of 1 or more executives

  3. 6+ years of calendar management and expense report management experience for 1 or more executives

  4. Experience prioritizing multiple projects

  5. Experience with Microsoft Office
