Summary:

Facebook is seeking an experienced Executive Assistant to support two senior leaders within the Sales Organization, with a focus on the Agency and Media landscape.

The ideal candidate will be a masterful problem-solver and an organisational expert who thrives when juggling multiple complex calendars and projects. We’re looking for an enthusiastic self-starter with the ability to operate effectively in an ambiguous, “start-up” environment. They will have exceptional communication and diplomacy skills who can act as a cultural ambassador, supporting co-operation between cross-functional teams - building relationships across multiple functions within the Facebook ecosystem.

Required Skills:

  1. Provide a high level of administrative support to two busy leaders, along with every day operational support to the Sales organization

  2. Perform administrative tasks demonstrating attention to detail in relation to calendar management, travel planning and expenses, tracking last minute conflicts and changes in a timely manner

  3. Ability to manage several time zones, and all relevant comms, travel and cultural expectations that come with it

  4. Organise and manage team off-sites, events, and activities for the Director's team, the leadership team and org. Follow and maintain budgets, research best options, coordinate the logistics including meals, transportation, onsite activities, invoices, etc

  5. Ensure a good level of communication across the team and leadership group is maintained with the highest degree of professionalism & courtesy

  6. Project manage different events for the leadership team

  7. Build strong relationships with different stakeholders (Facilities, Events, Space Planning, Security, etc.) and become a POC for team inquiries

  8. Collaborate with other admins across the business and be available to help plan team events as needed

  9. Manage and welcome visitors from global offices and providing an ad-hoc support, if required

Minimum Qualifications:

  1. At least 5+ years of full-time, recent administrative experience directly supporting 1 or more Director level

  2. Experience of supporting the leadership team within a fast paced, high-tech international team environment

  3. Strong calendar management, travel scheduling, budgeting, project-management while supporting the growth of the sales team

  4. Effective organisational skills, with demonstrated attention to detail and the ability to handle multiple priorities in a fast paced environment

  5. Team player with strong interpersonal and communications skills who is able to work autonomously with little direction

  6. Creative with the ability to generate new ideas and inspire other team members

  7. Must be flexible and able to quickly react to last minute changes

  8. Must be able to handle confidential information discreetly

  9. Ability to hit the ground running and take charge of the position with a “can do” approach

  10. BA/BS degree or equivalent
